Welcome to the help page for the Online Management System for Universal Membership. Below you will find some tutorial videos which take you through the various things you can do online. Below that are some frequently asked questions and some other resources.

NOTE: We've now released a new version of the members area. These videos still refer to the old version and we'll try to get them updated when we can. Most of it still applies, though, so new clubs should still find them useful.

3. I don't understand what to do when a player mismatches. Can you clarify what a red cross means?

Certainly. When you send us a UM submission, it contains a list of the EBU numbers and names of those who played. We'll check these against our central records and if there are any mismatches we'll ask you to resolve these. When you do there will be four options:

  1. The player has an existing EBU record. They have an EBU number already. You may know it, in which case you can type it in. Or you may need to look it up, in which case you can give a name to look for.
  2. The player is a guest. A guest does not have an EBU number and does not wish to earn any master points now or in future. If you select this option you won't need to specify any further details. This is also a useful option if you don't know somebody's EBU number, cannot look it up, but still want to process the file. Setting the player as a guest is convenient and you can go back in later and change it when you have more information.
  3. The player is a new member. They do not currently have an EBU record but wish to join your club. In order to do this they'll have to provide some information, which you can record in the form you're presented. When finished, this person will be added to your membership list.
  4. The player is a potential member. The same as (3) except they do not wish to join your club at this point. A record will be created and an EBU number assigned but they won't be added to your membership list. You might choose this option if they're thinking of becoming a member but want to start collecting master points now.

As of v1.1 of the members area, options 3 and 4 are merged into one button: 'This Player Requires a New EBU Record'. Our blog on the subject presents a handy screenshot.

4. I can't see any master points on my record. Has the upload worked?

There are two areas for master points on our system. The 'Master Points' tab in your members area shows what has been permanently recorded to our master point database. The Sessions list (also in the members area) will show a list of sessions that have been submitted for you and you can click on them to see how many master points you earned there.

Every month we'll copy the points from the uploaded UM sessions to the full master point database. Why do we wait a month? Firstly, this is to give club administrators a chance to correct any mistakes in their sessions. Also, if we were to copy each session when it happens the page listing the master point record would soon become enormous. By doing it monthly, we merge club entries together and keep it better organised.

5. I'm a member. How do I log on to my personal area?

6. Why don't I have permission to see my members' details?

We obviously have to be very careful with protecting our members' personal details and so we can only give clubs access to read or amend their members' information if the members themselves allow them.

In the case of brand new members who were created at the instigation of your club this permission has been set by default. In the case of pre-existing EBU members or members created by a different club, the member has to give you their consent, which they can do by logging into their members area (see 5 above).

7. Mrs Jones' address is wrong on your system. How do I change it?

First of all, why is it up to you to change it? Each member is able to change their own EBU record, either by logging on to their members area or by contacting us in a more traditional way. If they do this, it will appear on your copy of the database. It shouldn't be up to the clubs to do the work for their members.

Nevertheless, in many cases the club will want to act on behalf of their members who may not be able to do it for themselves. If they have permission (see 6 above) to amend that person's details then they can do this by selecting them in the membership list. If they don't, they'll have to ask for it. The member can log on to their personal area (perhaps with your guidance) and give your club this permission. They can also, if they want, give you their password (see 5 above) and you can do this for them.

8. I need to make a change to a session. How can I do this?

You have two options. If the change is relatively minor - a different person played than you had recorded, for example - you can go to your sessions list, click on the session involved and then click on the entry you want to amend. Make the changes and click Update and the changes will be saved.

If the change is more involved than this, you could still use the above method if you want, but that would get a bit tiresome. Much simpler would be to delete the session entirely (click on the session in your session list and click the Delete button) and then re-upload the corrected session.

Note that you won't be able to do either of these things if we've processed the session for master points. You'll always have at least a week to correct a submitted session, but if this does happen let us know and we'll see what we can do.

9. Can somebody submit session files without having full access to my club's membership database?

Yes. Some clubs have several scorers and don't want them all to have the power to create and delete members or view personal details of their members. To restrict this, you need to make the people 'club scorers' by selecting them from the membership list (double click) and clicking on the 'Make Scorer' button.

Now, when they log in to their own personal members area (see 5 above) and select the 'My Club Membership' tab they will see a pencil icon appear next to your club, as shown below.

Clicking this will open up a window where they can upload a session file. Note that club scorers have limited permission to the membership database. They can search for members by name but won't have access to your club's membership list and won't be able to add or remove members. This means that if a new player turns up at the club their only option will be to treat them as a 'guest'. An authorised club administrator will have to later create the record and amend the session to show the new player.

10. I'm getting too many red X's next to my members when I submit a session file. What am I doing wrong?


When you send in a file of your session, we need to know the EBU number of everybody who played. We also ask for a name as a check against mistakes. A red cross will therefore appear for one of two reasons:
1. There was no EBU number on the file.
2. There was an EBU number but it did not match the name supplied.

So check the player database in your scoring program and make sure that the information there is up to date. Make sure that each person has the correct EBU number associated with them and also make sure that the name is spelled correctly. It may be the case that you have the name correct but we have it wrong, in which case it will need to be updated at our end.
